Position OVERVIEW
We are hiring an Office Manager to work closely with our small but growing team of climate & environmental scientists and developers. We seek a trustworthy, independent and creative Office Manager to join our digital office part-time and fill a crucial gap in our organization. Primary responsibilities will include payroll processing, bookkeeping, invoicing, purchasing, time tracking, administrative research, event planning, and executive administrative assistance. The successful applicant will enjoy a high degree of autonomy, and an ability to shape and inform development of administrative processes. Nearly all tasks and duties will be performed online in a highly collaborative environment, necessitating a comfort with online communication, online platforms and modern software. We anticipate this position typically requiring 10 to 20 hours per week of effort, but are open to alternative levels of effort on a candidate-by-candidate basis.

The successful Office Manager applicant will be responsible for:
Administrative Support:
- Event planning (meetings, team events, workshops)
- Coordination of schedules
- Perform research (example: gathering insurance quotes)
- Fill out government paperwork and forms
- Maintain employee records of compliance and training
- Collect, file, and organize office documents
- Onboard new employees
- Purchase office supplies
- Take notes at meetings
- Organizing documents and digital folders
- Other clerical tasks as needed
Payroll and Invoicing:
- Track effort by employee and project
- Enter hours worked into an online payroll system
- Prepare invoices
Bookkeeping and Accounts Receivable:
- Record financial transactions into bookkeeping software
- Complete banking transactions and record-keeping
- Track, monitor, and report on expenses
- Process employee travel expenses and other reimbursements
- Track outstanding invoices and accounts receivable
General position requirements:
- This position requires a lot of computer work, applicants will need to be capable of working at a desk or computer for the majority of the workday.
- This position involves executing administrative tasks independently, in a timely fashion. This requires applicants to be able to learn new tasks, maintain focus, execute documentation processes, complete tasks independently, make timely decisions without consultation, and communicate clearly with team members.
- Infrequent (once a month) travel to the office in Sacramento, CA to handle documents.
- Infrequent travel to workshops, seminars, conferences, and meetings with our partners.
- Perform other duties as required. We are a small team, and sometimes you’ll have to do tasks that are outside of position scope.

desired qualifications
We anticipate applicants having some of these qualifications.
- Interest in or affinity for science, particularly environmental or climate science
- Experience working with the State of California (directly or as a contractor)
- Well developed time management skills
- Strong written and oral communication skills, including the ability to produce reports
- Ability to answer phone calls and emails professionally
- Experience working remotely with a distributed team
- Education, experience and/or training that prepares you for listed responsibilities
- Technical writing skills, or experience copy editing
- Prior experience with bookkeeping, accounting and account receivables

Benefits & Compensation
The salary for this position will be a minimum of $25 per hour and higher for experienced candidates. We are committed to providing better than a livable wage, which in Sacramento has been estimated to be between $17 and $18 per hour. We are advertising this position as a remote, part-time (10 to 20 hours per week), non-exempt position based in Sacramento, CA but will strongly consider applicants seeking alternative arrangements.
